Can an Excel Quality Register Remain Fit for Purpose?
Excel registers are widely used to track deviations, CAPAs, change controls, complaints, audit findings, and other quality activity. The useful question is not whether a spreadsheet is inherently acceptable. It is whether the register is fit for its intended use and whether the information it provides can be understood, reviewed, and trusted.
An Excel quality register can be assessed and supported with proportionate controls and evidence. The appropriate approach depends on the register's intended use, process impact, data, ownership, reliance, and quality-system context.
Challenges of validating an Excel quality register
As a register becomes central to quality oversight, common spreadsheet practices can make assurance harder. Multiple versions, uncontrolled formula changes, inconsistent classifications, broad editing access, and manually assembled reporting can make it difficult to show how the information was created and maintained.
These issues do not automatically mean the spreadsheet is unsuitable. They do mean the organisation should understand the decisions it relies on, the controls already in place, and the evidence needed to support continued use.
Start with intended use and evidence
A practical assessment considers:
- the quality decisions, reports, and actions that rely on the register;
- the data fields, classifications, calculations, and links that need to remain accurate;
- who can enter, change, review, and approve information;
- how changes, corrections, exceptions, and periodic review are managed; and
- what evidence is appropriate for the organisation's intended use and quality system.
This is not a universal validation recipe. The organisation remains responsible for deciding what it needs to assess, approve, document, and monitor.
When SharePoint may be the better long-term path
A governed SharePoint register may provide a more sustainable operating model when the register is central to quality oversight, structured reporting, consistent classifications, due-date management, permissions, traceability, and review. It can support a central view of quality information while the approved paper or controlled record remains authoritative where that is the intended boundary.
Moving the register is not automatically the right answer. It should follow a clear assessment of the current process, the information being managed, the controls required, and the way the team needs to work.
